About the Job

We are looking for an experienced and dependable Scheduling Supervisor with proven leadership experience and strong organizational and communication skills to join our team. The ideal candidate will oversee the scheduling operations and lead a team that supports one of our clients in the U.S. This role requires working U.S. hours and being based in our Pampanga office.

Responsibilities:

  • Lead Scheduling Team: Train and support schedulers to ensure compliance with scheduling protocols and operational needs. 
  • Create and Review Schedules: 
    • Oversee schedule development to ensure efficient staff and resource allocation. 
    • Ensure schedulers meet schedule deadlines and quality standards. 
  • Coordinate with Management and Departments: Collaborate with Clinical, HR, and other teams to align schedules with staffing needs, business priorities, and employee availability. 
  • Manage Scheduling Systems: Maintain scheduling tools and ensure schedules remain accurate and updated. 
  • Handle Schedule Adjustments: Respond to staffing changes, absences, and urgent requests with timely schedule updates. 
  • Compliance: 
    • Standardize procedures and processes of the Scheduling Department
    • Ensure scheduling practices comply with company policies. 
    • Ensure CRM tickets are properly tagged and resolved within SLA standards. 
  • Reporting and Analysis: 
    • Track scheduling metrics, including overtime, coverage, and staffing levels.
    • Analyze trends to improve resource allocation and provide management insights. 
    • Prepare accurate weekly and monthly management reports.
    • Enforce company policy compliance and accountability.
  • Conduct Performance Reviews: Facilitate objective, data-driven evaluations for schedulers. 
  • Resolve Scheduling Issues: Address scheduling conflicts, employee disputes, shift swaps, and overtime concerns. 
  • Forecast and Plan Staffing: Support workforce planning based on projected workloads, peak periods, and special events in coordination with HR. 
  • Drive Continuous Improvement: Recommend and implement process improvements to enhance scheduling efficiency and accuracy.

Requirements:

  • Minimum 3–5 years of experience in scheduling, workforce management, operations coordination, or team supervision.
  • Prior leadership or supervisory experience managing scheduling or operations teams is required.
  • Strong understanding of workforce planning, staffing coordination, and schedule management processes.
  • Experience working with U.S.-based clients or supporting U.S. operations preferred.
  • Excellent organizational, problem-solving, and multitasking abilities.
  • Excellent written and verbal English communication skills.
  • Able to work from 8:00 AM to 5:00 PM U.S. Eastern Time.
  • Ability to manage escalations, urgent staffing changes, and high-pressure situations professionally.
  • Experience using CRM systems, scheduling tools, workforce management software, or ticketing systems.
  • Strong analytical and reporting skills with the ability to interpret scheduling and staffing data.
  • Ability to enforce accountability, compliance, and operational standards within the team.
  • Experience conducting performance reviews, coaching, and team development activities.
  • Proficient in Microsoft Excel, Google Sheets, and reporting tools.
  • Self-motivated and proactive with demonstrated creative and critical thinking capabilities.
  • Dependable, organized, and reliable professional with a strong sense of responsibility and accountability.
  • Honest, adaptable, and innovative professional with a high level of integrity.
  • Strong attention to detail is a MUST.
  • Ability to work independently while managing multiple priorities and deadlines.
  • Flexible to work onsite from our office in Clark Freeport, Pampanga.
  • Experience in healthcare scheduling, staffing coordination, or BPO/shared services environment is a plus.
  • Bachelor’s degree in Business Administration, Healthcare Administration, Human Resources, Operations Management, or related field preferred.
